The Client Insurance
Location: Twin Cities office with satellite offices
The Challenge: Client currently has offices in three cities in two states with three different phone service providers. Calls made to the 800 number are received only in the main office and cannot be forwarded to satellite offices. The client also has two call bridges that are shared among all users. The client expects to expand to additional states and needs a cohesive communication system.
The client contacted Biz-VoIP and requested a solution that will link all the offices and allow clients to call a single 800 number to reach anyone in the organization. Their current provider was unable to provide service to the satellite offices. The second competitive bidder could provide service to all existing locations, but each service address would be a separate system. Neither satisfied the requirement of providing a cohesive system.
Our Solution: We responded with a hosted VoIP system that replaced the client’s 18-year-old phone system in the main office with VoIP extensions that connected to the existing network. Remote offices received VoIP extension phones that plugged into their local network. Biz-VoIP configured a conference bridge for each user eliminating the requirement to continually coordinate the use of the conference bridges.
Users can connect personnel in satellite offices with the press of a single button. The 800 number is available to all users. With call presence users at the home office can easily tell when personnel in satellite offices are on their phones. When personnel are out of the office, voice mail is sent via an email so they can quickly respond. Calls are easily transferred between offices. All calls to anywhere in North America are local calls. The client’s cost is 30% lower than their previous solution.
The Client: Farming Products
Location: Rural MN
The Challenge: Client had previously installed a newer PolyCom VoIP-based phone system. When high-speed fiber became available, they upgraded their Internet connection which included voice on fiber. The customer’s clients were hanging up because there was a 9-12 second delay between the first and second rings and the office phones did not ring until the second ring. The phone service provider and the phone system provider each blamed the other for the delay. After months without resolution, the client contacted Biz-VoIP.
Our Solution: We programmed their existing PolyCom phones to connect to our hosted PBX switch. The delay between rings was eliminated. Calls connect quickly and office phones can be answered on the first ring.
The Client: Law Firm
Location: Twin Cities Metro
The Challenge: Client has a single location which contains the offices of three businesses. The receptionist answers calls for two of the three businesses. The first business had three lines; the other two businesses had two lines each and shared a fax line.
Our Solution: The new solution has one number for each business and three shared call paths between them which means they can be on more simultaneous calls than before without getting a busy signal. The client is saving over $250 per month, and they have a greater call capacity.
The Client: Law Firm
Location: Twin Cities Metro
The Challenge: Large firm moves to new address. The existing phone service provider was delayed on moving T1 service and was unable to provide service in the new location for two weeks.
Our Solution: We provided multiple phones that would ring when the main number was called. These phones were installed and working the day the client moved into their new office space. The phones were connected and working before the office furniture was set up. To complete the temporary solution, the phone equipment vendor added 6 SIP Trunk licenses to the system. We provided 6 SIP Trunk plus 35 direct inward dial (DID) numbers and ordered the existing phone numbers to be forwarded to the temporary DIDs provided. We kept the business in operation for two weeks until the new T1 was provisioned. At the end of their contract period Biz-VoIP provided 40 phones on our hosted VoIP PBX. Our solution saves the client several hundred dollars per month.
The Client: Law Office
Location: Twin Cities
The Challenge: Law office with older phone system that was end-of-life (EOL). The client was looking for a replacement system but didn’t want to spend $10K for a new system that can handle 4 lines with 8 phones.
Our Solution: Client contacted us and was offered a solution that didn’t require the purchase of an in-house phone system. We provided a hosted VoIP system with eight telephones that connected to their existing network. This reduced their equipment cost to 10% of what a new PBX-based system would cost. Additionally, by adding additional numbers, calls are directed to specific attorneys without the need to be answered by the receptionist.
